Terms and conditions.

Terms for the Brikxsol website, software products, subscriptions and professional services.

Last updated: 3 October 2026
At a glance

These terms apply across Brikxsol products and services, including Waste Pilot CRM, Voice Flow AI, Edvora and Accounts Payable Automation.

The accepted order, proposal or checkout confirms the product, price, currency, billing basis and included services.

Stripe currently processes Waste Pilot subscriptions and provides Stripe Connect services within Waste Pilot. Other products use the payment arrangements stated in their order.

1. About these terms

These terms govern use of the Brikxsol website and any order for a Brikxsol product or service. “Brikxsol”, “we”, “us” and “our” mean the Brikxsol business identified on the applicable order form, proposal, invoice or payment receipt. “Customer”, “you” and “your” mean the person or organisation using the website or buying or using a Brikxsol product or service.

Our current products include Waste Pilot CRM, Voice Flow AI, Edvora and Accounts Payable Automation. We also provide software engineering, SaaS development, websites, consultancy and flexible development teams. Product-specific or service-specific terms in an accepted order take priority where they conflict with these general terms.

2. Website use

The website provides general information about Brikxsol services and products. Product descriptions are intended to be accurate, but a customer’s order form or written proposal takes priority if it describes a specific subscription, implementation or service.

You must not misuse the website, attempt unauthorised access, introduce malicious code, scrape protected areas, or use our content in a way that infringes intellectual-property rights.

3. Orders and scope

An order begins when we accept an order form, proposal or checkout, or otherwise confirm the work in writing. Before payment or commitment, we will show or provide the selected product or service, scope, price, currency, billing basis, applicable taxes and any agreed setup, implementation or support.

The features, deliverables and usage rights included are those stated in the accepted order, proposal or checkout. Marketing pages describe the products generally and do not expand an agreed scope. Features described as “coming soon”, preview or beta are not contracted deliverables unless expressly agreed in writing.

4. Fees, invoices and payments

You must pay the fees, taxes and other charges stated in the accepted order. Unless an order says otherwise, charges are quoted in pounds sterling, invoices are due on the date stated, and VAT is added where applicable. Additional work outside the agreed scope requires approval and may be charged separately.

Waste Pilot is currently the only Brikxsol product taking subscription payments through Stripe. By starting a paid Waste Pilot subscription, you authorise Brikxsol to instruct Stripe to charge the payment method you provide for the amount and at the frequency displayed before confirmation. Stripe is a payment processor, not the supplier of Waste Pilot or any other Brikxsol product.

Stripe processes payment details under its own terms and privacy notice. Brikxsol does not receive your full card number. Your bank statement may show Brikxsol, Waste Pilot, or another statement descriptor presented at checkout. We provide a receipt or invoice for each successful payment. Other Brikxsol products and services are paid using the method stated in their accepted order or invoice.

If a payment fails, we may retry the payment, ask for another payment method, restrict paid features or suspend access after reasonable notice. You remain responsible for undisputed charges already due.

5. Stripe Connect and connected accounts

Waste Pilot may allow a customer to connect or create a Stripe account so that the customer can accept payments from its own customers. In that arrangement, Brikxsol is the Stripe Connect platform provider and the Waste Pilot customer is a connected account user. Brikxsol is not a bank and does not itself provide regulated payment-processing or payout services.

To use connected payment features, you must complete the onboarding and verification requested by Stripe, provide accurate and current information, and accept the applicable Stripe Connected Account Agreement and Stripe Services Agreement. Stripe may request identity, business, ownership, tax and bank-account information, and may refuse, restrict or suspend payment capabilities where its requirements are not met.

You authorise Brikxsol to access connected-account information and perform activity through Stripe Connect as needed to provide the features you enable. Depending on your configuration, this may include creating or updating the connected account, initiating and managing payments, refunds, transfers and payouts, viewing balances and transaction status, responding to requirements, reconciling transactions, calculating disclosed platform fees, and providing payment support. We will use this authority only to provide and protect the service, follow your instructions, meet our Stripe obligations or comply with law.

You remain responsible for the products or services you sell to your customers, including descriptions, prices, taxes, fulfilment, receipts, customer support, cancellations, refunds and compliance with payment-method rules and applicable law. You must not use connected payment features for prohibited or misleading activity.

Any Stripe processing fees and Brikxsol platform fees will be disclosed in the applicable order, product interface or connected-account onboarding. Where enabled, Stripe may deduct those fees before funds are paid out. Payout timing, availability, reserves and holds are controlled by Stripe and its financial partners and can be affected by verification, disputes, risk reviews and banking schedules.

Responsibility for refunds, disputes, chargebacks, fees and negative balances depends on the connected-account configuration and the applicable Stripe terms. To the extent the accepted order or Stripe configuration makes the customer responsible, you authorise recovery from the connected-account balance or other lawful recovery method and must promptly pay any shortfall. Closing a Waste Pilot subscription does not automatically close a connected Stripe account or remove outstanding payment obligations.

6. Subscriptions, cancellation and refunds

Any recurring product or managed service renews at the interval shown in the accepted order or checkout until it is cancelled. You may cancel before the next renewal through any cancellation control made available in the product, or by using the support contact stated in your order confirmation, invoice or account workspace.

Unless the order says otherwise, subscription cancellation takes effect at the end of the current paid billing period. No further recurring charge will be taken after cancellation becomes effective. Cancellation of project work or other non-recurring services is governed by the notice, committed costs and payment terms in the applicable order or proposal.

Fees already paid are not automatically refundable for a partially used billing period or completed work, except where required by law or expressly agreed in writing.

If you believe a payment is duplicated, incorrect, unauthorised, or relates to a service we did not provide, contact us promptly. We will investigate and return amounts where a refund is legally due or we agree a billing error occurred. This policy does not limit any mandatory statutory rights.

7. Customer responsibilities

You must provide accurate business, billing and account information; protect account credentials; keep authorised-user access current; provide timely decisions and materials needed for delivery; and use our products and services lawfully. You are responsible for the accuracy and legality of data, instructions, content and materials you provide.

Brikxsol products support business operations but do not replace the customer’s legal, environmental, employment, education, tax, accounting or regulatory responsibilities. Customers must review outputs, records, automated actions and third-party submissions before relying on them where professional or regulatory judgement is required.

8. Service, support and changes

We provide the product, project, managed service and support described in the accepted order. We may update software products to improve security, reliability or functionality. We will not knowingly make a material reduction to paid core functionality during a current billing period without reasonable notice.

Planned maintenance and events outside reasonable control may occasionally affect availability. We do not promise uninterrupted operation, but we will use reasonable care and skill to restore affected services.

9. Intellectual property and customer data

Brikxsol and its licensors retain ownership of our website, products, pre-existing software, designs, methods and related intellectual property. During an active subscription, we grant the customer a limited, non-exclusive, non-transferable right for its authorised users to use the subscribed product for its internal business operations. Ownership and licence terms for bespoke project deliverables are stated in the applicable order or proposal.

You retain ownership of data you submit. You permit us and our service providers to host, process, secure and transmit that data as necessary to provide the service, comply with law and protect the platform. Personal data is handled as described in our privacy notice.

10. Suspension and termination

We may suspend or terminate access where payment remains overdue, use creates a security or legal risk, these terms are materially breached, or the law requires us to act. Where practical, we will give notice and an opportunity to remedy the issue.

On termination, the right to use the affected product or service ends. Data export, handover and deletion will follow the applicable order, privacy notice and legal retention duties. Terms that by their nature should continue—including payment obligations, intellectual-property provisions and liability limitations—survive termination.

11. Liability

Nothing in these terms excludes liability that cannot lawfully be excluded, including liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation. Subject to that, neither party is liable for indirect or consequential loss, loss of anticipated profit, or loss caused by the other party’s failure to meet its responsibilities.

Any additional liability cap or service commitment will be stated in the customer’s accepted order or written agreement. If there is a conflict, that signed or accepted agreement takes priority.

12. Changes to these terms

We may update these terms to reflect product, legal or operational changes. The date above identifies the latest version. Material changes affecting an active subscription or managed service will be notified reasonably in advance and apply from the stated date, normally the next renewal.

13. Governing law and contact

These terms are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction, unless mandatory law requires otherwise.

For pre-sale questions, use our contact page. Existing customers should use the support details supplied in their order confirmation, proposal, invoice or product workspace so we can identify the correct product, service or project.
